Front of House Receptionist

This is a customer-facing role based within the Edinburgh premises of a prestigious client. This role is based at the reception area and experience in dealing with enquiries and managing customer expectations is essential. Ideally from a property management background, the candidate should have excellent administrative & communication skills as well as an understanding of helpdesk procedures.

This role will be varying shifts, working 20 hours a week.

This is a cover role.

The Front of House Receptionist will be responsible for managing Front of House and the reception in particular, ensuring that all administrative procedures are compliant

The candidate should be confident and outgoing with an approachable manner and capable of multi-tasking and prioritising their workload. Experience in a similar work environment is essential.

Duties include but are not limited to:

  • Meeting and greeting tenant staff and visitors to the building ensuring that all guests and contractors sign in on arrival
  • Build and maintain a good working relationship with all tenant staff and contractors on site
  • Responding to tenant email enquiries and emailing tenants with updates such as planned works
  • Managing and updating information on outlook, word and excel i.e., utilities consumption, tenant handbook, building information, tenant enquiries, contractor site maintenance visits and helpdesk call outs etc
  • Ensuring that work permits are in place prior to contractors coming on-site, maintaining spreadsheet records for all permits issued
  • Under the guidance of the Building Manager, follow up on outstanding compliance documentation with the main contractors as and when required
  • Confirming with tenants that access arrangements are in place prior to specialist work taking place
  • Organising mail deliveries for collection by the tenants at reception
  • Ensuring that the key register is up to date and all keys are returned by the end of each day
  • General administrative work and filing
